Review Cycles

A review cycle is the period you're evaluating — a month, a quarter, a year — tied to a template. Everything the module scores happens inside a cycle, and this is where you create, calculate and finalize them.

The cycle lifecycle

A cycle moves through six states. You mostly create it (Draft/Open), calculate it, and let the flow carry it toward Finalized.

The cycles list

Creating a cycle

Click Add Review Cycle. The modal has:

The period dates matter — the engine only counts work that happened within the start/end window (tasks created, tickets closed, attendance logged, etc.). Set them to the real review period, not the date you happen to create the cycle.

Calculating a cycle

Once a cycle is Open and people are assigned, a Calculate button (calculator icon) appears on its row. Click it to run the scoring engine across every assignment in the cycle: it computes each metric, normalizes and rolls up the composite, snapshots history for the trend line, and — if salary auto-trigger is on — generates salary recommendations. The Progress bar fills and the cycle advances out of Open.

Only an Open cycle can be calculated. Trying to calculate a cycle in any other state is refused (“invalid status transition”). If the Calculate button isn't there, check the status badge.

Need to re-score just one person after fixing their data or a manual entry? Don't recalculate the whole cycle — open that employee's assignment detail and use its Recalculate button.

Automatic calculation (the nightly job)

You don't have to click Calculate at all. The module ships a nightly cron job, auto_calculate_kpi_cycles (runs 01:30 daily), which finds cycles that are Open, have Auto-calculate switched on, and whose period end date has passed, then scores them and moves them Open → Calculating → Review for you. Set it up once in Getting Started.

The job is deliberately conservative: it only touches cycles that opted in and only after the period ends, so it never scores a half-finished period. Anything else stays a manual click.

A cycle, start to finish

  1. Create it (Draft/Open)

    Add the cycle with its template, cadence and dates.

  2. Assign people

    From Team Matrix → Assign Employees, add the employees (and optional reviewer) to this cycle.

  3. Enter manual metrics

    If the template uses manual metrics, fill them in per assignment. Optional.

  4. Calculate

    Click Calculate (or let the nightly job run). Watch the Progress bar fill.

  5. Review & finalize

    Check the Overview / Team Matrix, then action the salary recommendations.
