Before you start
Confirm three things before you begin:
- The Warehouse module is switched on for your company. If the Warehousing group is missing from the left menu, ask your administrator to enable it under Settings.
- Your user role has the Warehouse permission. Without it you will be redirected away from every warehouse page.
- You have decided how your physical sites are organised. Warehouse follows a fixed hierarchy of Warehouses, then Zones, Racks, Bays, Levels, and Positions, so sketch out your layout on paper first.
First-time setup
Work top-down so each location has a parent to attach to. Open the Warehousing group in the left menu and follow this order:
- Go to Warehouses and add each physical site with its name and details.
- Inside a warehouse, create its Zones (for example, receiving, bulk storage, picking).
- Add Racks to each zone, then Bays, Levels, and finally individual Positions. Only create the depth you actually need.
- Open Pallets if you use pallet handling. You can add pallets in bulk and export QR or barcode labels for printing.
- Go to Stock Items and build your catalog. For each item set the name, unit of measure, unit cost, minimum stock level, and reorder point. If a code is left blank, a stock keeping unit code is generated for you. Turn on batch or expiration tracking for perishable goods.
Your first task
Once locations and items exist, try a full inbound cycle so you can see stock arrive on hand:
- Open Receiving Orders and create a new order, choosing the destination warehouse and receiving date.
- Add the items you expect to receive.
- Use Receive Items to enter the quantity received and accepted, note any rejected units, capture batch or expiry details, and choose the put-away location.
- Choose Complete to put the accepted quantity away. The stock now shows on hand, and a receipt entry appears in Stock Movements.
Return to the Warehouse Dashboard to see your new figures reflected in the item counts and inventory value.
Where to get help
If a page will not open, check that the module is enabled and that your role holds the Warehouse permission. For anything that changes on-hand quantities incorrectly, use the audit trail in Stock Movements to trace what happened, then contact your warehouse manager or the ERPat Team for support.
