Daily Operations
The four things you'll actually do in ID Studio — number employees, design a card, generate a batch, and manage cards afterwards — each as a short procedure.
Allocate employee IDs
Open ID Studio → Allocate IDs
The list shows staff with no Job ID yet.
Select
Tick employees (selection persists across pages) or use Allocate all missing. The banner shows the predicted next number.
Allocate
Each gets the next unique ID from your format. Existing IDs are never touched; each assignment is audited. A green toast reports how many were allocated (and any skipped).
Build & publish a template
-
Open ID Studio → ID Templates → New template
Give it a name, an optional description and an orientation (landscape or portrait). You land in the builder.
-
Add fields & elements
From the left palette, drag (or click) fields onto the canvas: employee photo, full name, employee ID, department, position, emergency contact name/phone/address, government IDs (TIN, SSS, Pag-IBIG, PhilHealth, GSIS), company logo/name, the authorized signature image, a QR code, a barcode, plus free text, shapes and lines. Switch Front / Back with the toolbar buttons.
-
Arrange
Select an element to move it (drag), resize (corner handle) or rotate (top handle). The right inspector sets exact position, size, rotation, opacity, typography, image fit/border and shape fill. Use the layer panel to reorder, lock, hide or delete. Undo/redo (up to 50 steps) and a background image upload are in the toolbar.
-
Preview & save
The builder autosaves your draft ("All changes saved" in the toolbar). Click Preview to see the card filled with a real employee's data.
-
Publish
Click Publish. The front must contain both Full Name and Employee ID. Publishing creates an immutable version that generation can use. Editing later starts a fresh draft — the published version is preserved.
Generate a batch
Open ID Studio → Generate IDs
Pick a published template.
-
Choose employees
The table flags each employee: No ID (needs a Job ID) and Active tag (already holds a live card). Tick employees (selection persists across pages).
-
Set options
Valid from / until (defaults from Settings), auto-allocate missing IDs, and how to handle employees who already have an active tag — skip, replace (supersede the old card), or generate anyway.
-
Generate
A progress bar fills as cards render in the background. Each employee gets a front image, a back image and a print-ready PDF, recorded in the registry. It's safe to leave the page after it completes; re-running the same request won't duplicate cards.
Manage a card (registry)
Open ID Studio → Registry. Filter by status, template or expiry; export CSV; and use each row's actions menu:
| Action | What it does | Available when |
|---|---|---|
| View | Opens the card detail — front/back preview, metadata, data snapshot and a lifecycle timeline. | Always |
| Download PDF | Downloads the card's print-ready PDF. | When a file exists |
| Mark printed | Records that the card was printed. | Generated |
| Issue | Records handing the card to the employee. | Generated / printed |
| Revoke | Invalidates the card — a reason is required. | Any active card |
| Replace | Renders a new card for the same employee and supersedes the old one (lineage kept). | Any non-replaced card |
Verify a card
Scan the QR
Any phone camera opens the card's verification link.

The public page shows one of: Valid, Expired, Revoked, Superseded, or Not recognized — and nothing else. No personal data is shown.
