How to Close Your Shift at End of Day

Count your drawer and close your shift so ERPat records expected versus counted cash, the variance, and the sequential Z-read number.

Purpose

This guide shows a cashier how to close their shift at the end of the day (or end of a till session). Closing counts your cash, compares it to what the system expects, records any variance, and stamps the shift with a sequential Z-read number.

Before you start

  • You must be on the shift you opened, with the open/close shift permission.
  • Finish or resolve any held sales first — settle them or hand them over, because they are unfinished carts, not completed sales.
  • Physically count the cash in your drawer before you begin.
  • If you want a mid-shift snapshot without closing, take an X-read first (see below).

Procedure

  1. Optionally, take an X-read for a running snapshot: on the register, click X-read. This shows sales and expected cash so far and does not close the shift.
  2. When you are ready to close, go to Point of Sale > Register and click Close shift.
  3. The system shows the shift's expected cash — your starting float plus cash sales, adjusted by any cash in/out movements, less any cash refunds paid out.
  4. Enter your counted cash — the actual amount counted from the drawer.
  5. Add a note if there is anything to explain (for example, the reason for a shortage or overage).
  6. Confirm the close. The register shows the closing summary: number of sales, gross sales, expected cash, counted cash, and the variance (difference).
  7. Hand the counted cash and any printed Z-read summary to your supervisor per store policy.

After closing, the shift becomes read-only. Its history cannot be changed — later corrections are handled as refunds, not by reopening the shift.

Expected result

  • Your shift status changes to closed and receives a sequential Z-read number.
  • Expected cash, counted cash, and the variance are recorded on the shift.
  • The shift now appears in Shift Management for supervisor review and approval.

Troubleshooting

  • Close button not available — you may lack the open/close shift permission, or you have no open shift.
  • Large variance — recount the drawer and check for any cash in/out you forgot to record before closing; add a note explaining the difference.
  • A refund won't process during close — refunds need their own open shift; process the refund before closing, or after opening the next shift.
  • Held sales still listed — resolve them first; a held cart is not a sale and will not appear in the closing totals.
