What this module does
The Inventory module is where your company keeps its master list of products and services, tracks how much stock is on hand, and records every time stock is added or taken out. It gives your team one reliable place to answer everyday questions such as "Do we still have this item?", "How much did it cost?", and "What price do we sell it for?".
Everything in Inventory is built around the item catalog. Each item can be a physical product you store and count, or a service you sell but do not stock. For storable products, the module keeps a running on-hand balance that goes up when you receive stock and down when you release it. It also supports supporting details many Philippine businesses need, such as serial numbers, lot numbers, and expiry dates.
Because the catalog is shared across ERPat, the items you create here also appear when your colleagues raise invoices, estimates, and purchase orders. Keeping the catalog tidy and accurate helps the whole company, not just the warehouse.
Who uses it
- Inventory clerks do the daily work: adding new items, recording stock received and released, and searching the catalog to confirm what is available.
- Inventory supervisors review the catalog for accuracy, organize items into categories, and keep brands and units consistent.
- Administrators decide who can see and change inventory, and are the only users who can edit or delete existing catalog items.
You do not need an accounting or technical background. If you can search a list and fill in a short form, you can use this module.
Key areas
The Inventory group in the left menu opens into a few focused areas:
- Items — the main catalog. It has three tabs: Entries (the full list of items), Categories (groupings you define, such as "Beverages" or "Office Supplies"), and Inventories (the stock view where you check on-hand quantities and record movements).
- Brands — the list of manufacturer or product brands you can attach to items. Brands can also be shared with the Assets module.
- Units — your units of measure, such as Piece, Box, or Litre. Units can be linked so a larger unit is treated as a package of a smaller one.
Within an item you can also manage variants (different versions of the same product, such as sizes or colours) and record stock transactions against each variant.
Related modules
Inventory works closely with several other parts of ERPat:
- Sales uses your items on invoices and estimates.
- Purchasing uses your items on purchase orders and links suppliers to them.
- Assets shares the Brands list.
- Point of Sale can pull items into per-store assortments when the POS module is enabled.
Because these modules read from the same catalog, accurate item data here keeps sales, buying, and reporting consistent everywhere else.
