How to use this reference
Across the Inventory lists you will see coloured labels, plain words, and small signs. This page explains what each one means and what you can do when you see it. Use it whenever a list value is unclear. Green labels always mean available or in use, while red labels mean the record is switched off and hidden from everyday selection.
Item status
Shown on the Items Entries list and on categories, variants, and brands.
| Status | Meaning | What you can do |
|---|---|---|
| Active | The record is switched on and can be selected and used elsewhere in ERPat. | Use it normally, or edit it to make changes. |
| Inactive | The record is switched off and is hidden from new invoices, estimates, and pickers. | Reopen and set it to Active to bring it back into use. |
Item type
Shown in the Item type column and on the item form.

|---|---|---|
| Product | A physical item you store and count, with a tracked on-hand balance. | Record stock movements for it on the Inventories tab. |
| Service | Something you sell but do not stock, such as labour or a fee. | Use it on sales documents; no stock is tracked. |
Stock flow
Shown on an item's stock transaction list, next to the quantity.
| Status | Meaning | What you can do |
|---|---|---|
| Added (+) | Stock came in, so the on-hand balance increases by the quantity. | Use for receipts, returns in, and positive corrections. |
| Deducted (-) | Stock went out, so the on-hand balance decreases by the quantity. | Use for releases, damage, and negative corrections. |
Variant flags
Shown on an item's Variants list. Each flag reads Yes or a dash.

|---|---|---|
| Default (Yes) | This is the item's main variant, created with the item. | Keep one default per item; it cannot be deleted. |
| Selectable (Yes) | The variant can be chosen on sales and stock forms. | Turn this off to hide a variant from selection without deleting it. |
| Storable (Yes) | Stock is tracked for this variant. | Record stock movements against it on the Inventories tab. |
Brand availability
Shown on the Brands list, indicating where a brand can be used.

| Available in Items (Yes) | The brand can be attached to inventory items. | Select it in the Brand field on the item form. |
| Available in Assets (Yes) | The brand can be attached to records in the Assets module. | Select it when creating or editing an asset. |
